Here is all we need to start....
Planning a tournament can be stressful and challenging, but once everything comes together, you’ll realize that it was all well worth it. If this is your first time organizing an event of this magnitude or you’re just looking for some extra pointers, I’ve put together nine tips for a successful tournament. While my tips are by no means exhaustive, they’ll act as a wonderful jumping off point to help us get started quickly and easily. read on to learn what you can do to make your next tournament a success....Don't forget to subscribe to our brightermango newsletters to your mail box.
1. To give ourselves Plenty of Time for Planning.(TENGA MUDA WA KUTOSHA KWA AJILI YA MAANDALIZI)
Depending on the size and scope of our event, We’ll need to start the planning process at least six to nine months in advance. This will ensure that we’ll have all the time we need to make sure all the details of the event. (And trust me, there will be a lot!) But more importantly, it will help to provide our teams with enough notice so that they can coordinate their schedules appropriately.
2. Create our Budget.(KUTENGENEZA BUDGET)
We’ll find that our budget will include a number of line items. we’ll need to include things like course rental, promotional materials, signage, and food or drink costs. There are sure to be additional items we’ll need to account for that may not come up until down the road of the planning process. As such, it’s best to include money for unforeseen circumstances in our budget. After we’ve created that budget, we stick to it! The more accurate our budget is, the more likely our tournament or competition will be profitable.
3. TO Find Sponsors.(KUTAFUTA WADHAMINI)
Searching for sponsors will require some commitment and it can be a bit rough. Take some time to network as this will play an invaluable role in the process. Not only will it serve to increase awareness of our tournament but it will get US connected to the right people. When we meet with potential sponsors, we should already have a solid plan and budget in place. Make sure we take the time to explain what will make our event so unique. Sponsors will also be interested in how you plan on featuring their brands during said event.

Each venue will bring its own merits and drawbacks to the table. We’ll want a venue that has enough space for our participants and spectators, however many restroom or vendor facilities we require, and that is close to lodging and restaurants.

WE could opt to provide participants with a phone number or email address that they’ll use to confirm that they’ll be attending. If it’s unclear or unnecessarily complicated, we’re bound to see fewer registrants than we expected.

Having an easy-to-use platform where participants can book their flights or transportation will go a long way in boosting our tournament’s attendance. Plus, it also helps to make the process that much smoother for coaches and team organizers(if acappela singers uses them). Mediums like Facebook allow us to create events, invite people to our event, and much more for free. There are also a number of affordable online advertising options available as well. Our need for promotional materials will depend on the type of tournament we’re planning. Customized T-shirts and trophies are always a nice addition. If we have the means, goody bags for participants are wonderful, especially if you plan on this being an annual event.

Volunteers will be an indispensable part of our team throughout the event process. We’ll need committed individuals with a passion for the type of acappela singing we’re going to be showcasing in our tournament. WE Start considering everything that needs to happen on the first day of our event/tournament. Are We responsible for arranging for food or drink for the athletes? Do we have a smooth check-in process in place? What’s the timeline for our tournament? Once we have this list nailed down, delegate all the tasks to our volunteer team as appropriate.
Unexpected things can and will happen while we’re planning our tournament/event. But if we take care of these nine steps, we should be well on our way to a great tournament.
